Front desk assistant
Answers your clients' questions from your own timetable, prices and policies, and hands anything else to a person. Off until you switch it on.
Where to find it: Settings, Front desk assistant
Where it answers
For each channel, texts, WhatsApp, email replies, Instagram and Messenger, choose Off, Draft or Auto. Chat on your site is Off or On.
- Draft: it writes a suggested reply in the inbox for the desk to send, edit or bin.
- Auto: it sends by itself, only for the kinds of question you tick. Anything else becomes a draft.
The kinds you can tick are timetable and places left, prices and what passes include, intro offers, policies, teachers, locations and opening hours, booking, waitlist and cancelling, and hello and thank you. With booking ticked it books, waitlists and cancels for clients it knows, by your booking rules. Cancelling after the free time always goes to a person.
Switch on Only answer automatically outside opening hours to keep its replies as drafts while you are open. Set your hours in Opening hours.
What it says and who takes over
It only says what is in your timetable, prices, booking rules, site questions and the notes you give it. It never gives health advice. It hands the conversation to a person when it is unsure, someone asks for a person, complains, asks about a refund or money owed, or mentions health. Choose who it hands to under Hands conversations to.
Every reply it sends by itself ends with a line you choose, so clients know it was written automatically.
Try it first
Under Try a question, ask what a client might ask. Nothing is sent and nothing is booked. Recent shows what it did with the last questions it handled.
Replies and limits
Your plan includes a number of replies a month and a day, shown on the Replies card. Hand-overs decided by its rules cost nothing. Texts it sends also use your texting allowance. The owner can top up, at cost.
