A client's profile
One person's passes, bookings, history, purchases, notes, health details, forms and consent, with buttons to book, sell and manage their record.
Where to find it: Clients, then a person
The top of the profile shows their stage, tags, any health note and an upcoming birthday, with Sell and Book buttons and Sign-in link, which emails them a link to their account. The tiles show visits, the last visit, what they have spent and how long they have been with you.
Passes and memberships
- Each pass shows its credits, its dates and its credit history.
- Adjust credits adds or takes off credits, with a reason that shows in the history.
- Put on hold pauses a membership whose plan allows it. Nothing is charged while it is on hold, and the next payment moves back by the same number of days.
- Transfer moves a pack, with its credits and expiry, to someone else.
- Cancel ends a pass or membership. No money is refunded by this: refund the order separately if you want to.
- Give a pack gives a pack free, with no order and no money.
Bookings and history
Coming up lists their next classes, with Move and Cancel. Moving cancels the old booking free and uses the same payment for the new one. History shows past classes, and Purchases shows their orders with Receipt, Email receipt and Refund.
Notes, health and forms
- Notes are for staff only. Pin the ones that matter so they stay on top.
- Health and emergency holds what a teacher should know and who to call. Only owners and managers see it here. Teachers see it in the register for people in their own classes.
- Forms and waivers shows what they signed and which version.
- Marketing consent shows whether they agreed to marketing email and texts, and when it last changed.
Household
Start a household to link partners and children who share passes. Add a child adds a family member without their own email, booked from this profile.
Manage the record
- Archive hides them from lists and pickers. Nothing is deleted, and Bring back undoes it.
- Export their data downloads a file of everything you hold about them.
- Merge a duplicate moves bookings, passes, orders, notes and forms into one record and archives the other.
- Erase removes their personal details for good and keeps the money records with no name, as the law asks. It is refused while they have bookings coming up.
Merging, erasing, adjusting credits and cancelling passes are for owners and managers. The front desk can book, sell, add notes and put a membership on hold within its rules.
Studios with treatment notes switched on also have private treatment notes for each client. Only practitioners who treated them, managers and owners can read them, and every look is logged. Studio type and extras
